Put one person in charge
Every enquiry needs an owner and a backup. A shared inbox is a place to store messages, not a person responsible for answering them.

THE PRACTICAL STEPS
Use this on your own business. Start with the part that is getting in the way of a good customer enquiry.
Every enquiry needs an owner and a backup. A shared inbox is a place to store messages, not a person responsible for answering them.
Choose a realistic target for working hours. Tell people what to expect outside those hours. An automatic receipt can reassure them, but it is not a human answer. Do not promise instant replies if nobody is available.
Read what they asked. Answer it or explain what you need to find out. Ask one useful question. Offer one easy next step. Do not send a brochure and call it follow-up.
Hi [name], thanks for asking about [specific need]. [Give a useful answer, or explain the next check.] To point you in the right direction, could you tell me [one question]? If easier, we can talk at [time option] or [time option]. [Your name]
Hi [name], I wanted to follow up on your question about [need]. One thing worth checking is [useful detail that fits their enquiry]. Would you like me to [clear next step]? If the timing has changed, just let me know. [Your name]
Hi [name], I have not heard back, so I will close this enquiry for now. If you still need help with [need], reply here and we can pick it up. Thanks, [your name]
After your first reply, choose a sensible gap for the request. A few working days may suit a routine business enquiry; an urgent repair needs a different approach. Follow any agreed date. Stop if asked, or when the person says no.
Someone requesting a guide has asked for that guide. Do not treat it as permission for unrelated email or text campaigns. Deliver what you promised. Keep marketing choices separate and follow the rules for your audience.
Write down the problem, the change needed, who will do it and when. Then test the customer journey again. A checklist only helps when something gets fixed.
